Client: Global Investment Company

Venue: The Regency Hyatt Etoile, Paris

The Brief

A major Global Pharmaceutical company was planning a Paris event to launch their new ground-breaking cancer treatment.

The conference was to run across two days and host more than 250 delegates from all over Europe.

The client required a large central ball room with giant LED screen.

In addition, First Network were asked to provide a variety of breakout solutions each day. These would allow delegates to divide into smaller groups for networking and series of interactive presentations.

“This was an exceptional launch event for an exceptional milestone in Cancer treatment. Congratulations on a very well thought out, executed and impactful launch meeting from beginning to end.”

“First Network nailed it!”

The Solution

For the main entertaining space, First Network provided a 24m Curved LED Screen flanked by 9m of curved branded walls. This formed the backdrop for the main presentations and allowed full video content to be displayed in glorious high definition.

The LED wall was flanked by two 9 metre branded walls. The overall effect was of a 180 degree surround images and sound and was visually very striking.

There were two separate breakout rooms which changed function each day and were re-set overnight accordingly. In the first of the breakout areas, First Network provided two custom built quadrants, each creating 4 self-contained booths. These were beautifully finished and fully branded. They each housed a 75” LED screen on which presentations were shown. Delegates were encouraged to rotate through the various presentations in order to learn about the new product and the company’s plans for it. This informal arrangement also encouraged interaction and discussion between delegates which was an important aim of the event.

The second breakout room had 5 large screens around the walls, each with a dedicated seating area. On day two, the smaller booths in Room One were replaced with a second smaller stage with cabaret seating for 100. Room two saw the addition of a third smaller stage and theatre seating for 100 in addition to the LED screens that were used on the first day.

The overall layout lent the event a high degree of flexibility and enabled the client to divide delegates into smaller groups when necessary. They were able to address them in different ways and in different spaces throughout the event.

Logistically it was a busy week: Two 40ft artic trucks loaded at First Network of Friday. These arrived at the venue for unloading on Monday. Set was built on Monday and Tuesday with setup being completed by midday in time for rehearsals. These continued late into the night to ensure everything was ready for an early Wednesday start.

A highlight of the event were the two keynote speakers.

Conductor and founder of the World’s first Paraorchestra,  Charles Hazlewood addressed the delegates with an inspiring talk accompanied by a seven-piece string ensemble. This was followed by the account of a cancer survivor. Having undergone several failed cycles of chemotherapy, the speaker is now in remission following treatment with the new therapy being launched.
